At Hoopla, we’re always looking for new ways to improve and adapt the experience for both organisers and ticket buyers. Based on suggestions from you – our skilled and engaged organisers – we’ve begun evaluating and implementing new ideas. In this first round, we’re pleased to introduce the new feature: Ticket Groups.
What are Ticket Groups?
Ticket Groups are ideal if you’re running multi-day festivals, several events on the same day, or simply want to structure your ticket sales more efficiently. By organising tickets into groups, you’ll gain better control and oversight:
- Capacity Control
Set a limit that applies across all tickets within a group – perfect for multi-day festivals or events with multiple performances and ticket types. Once the limit is reached, tickets are automatically marked as sold out.
- Shared Settings
Set a common start and/or end date for sales and validity across a group of tickets, synchronising availability across multiple offers. This simplifies management for multi-day events or seasonal passes. Useful for organisers who want to set joint sales periods or unique conditions for an entire ticket group.
- Clearer Sales Page
Selling lots of different tickets? Group them to simplify the customer journey, so buyers don’t have to scroll through endless options. Your group setup will also be reflected on the sales page, making it quicker for customers to find what they want.
Want to highlight your most important or popular tickets? Use the Featured Tickets function to showcase up to 8 tickets at the top of your sales page.
- Clearer Reporting
Large numbers of tickets can make reports bulky and difficult to track. Grouping tickets makes reporting much easier, giving you summaries for total sales, by group, and by individual ticket. This eliminates the need to manually add up single-ticket sales.
Getting Started with Ticket Groups
We’ve enhanced ticket administration so that Ticket Groups are fully integrated into the system you already know. That makes it easy to adopt the new functionality. To get started quickly, follow this guide:
1. Activate Groups for Your Event or Template
Go to the Tickets tab in your event, select Groups: off and then choose Activate groups from the dropdown menu.
The system will automatically create a default group called Other Tickets. This group always follows the event’s total capacity and cannot be deleted. You can set any of your groups as the default group. When you create new tickets or delete a group, the default group will adjust automatically.
On the admin page, you can easily add, move, or delete tickets and groups as needed.
2. Add New Groups
Turn Groups on and select Create new, or use the New Group button at the bottom of the table on the left-hand side.
Name your group and adjust settings as required. If you wish, you can add tickets to the group immediately in the Contains field, or organise them later.
Click Save to create the group.
3. Add Tickets
Existing tickets are found in Other Tickets (see step 1). To create new ones, click Add ticket category.
To reorganise tickets, select Organise to open the overview of your tickets and groups. Drag and drop tickets or use the dropdown menu next to each item. When finished, click Done or close the box with X.
4. Select Featured Tickets
To highlight key tickets, open the overview by clicking Featured. Select tickets you want to promote by clicking the star icon next to each – a yellow star means selected.
Use the Organise button to adjust the order of featured tickets. Featured tickets are shown at the top of your sales page.
5. Sell Tickets!
You’re ready to go. With grouped tickets, sales are automated according to your group settings. Tickets sent to customers are updated with the dates you set for each group or ticket. Sales follow the sales period you’ve defined, and tickets are automatically marked as sold out when the limit is reached.
6. Sales Statistics
Groups improve not just the customer experience, but also your reporting. All relevant reports – event overviews, monthly reports, payout files, insights – will reflect your group structure, giving you a clearer view of sales performance and trends.
Note: Ticket groups are dynamic. Changes to groups may affect reports retroactively. While underlying data remains unchanged, reports will always reflect the current grouping.
