Automate your communication with ticket buyers!

We know it can be time-consuming and cumbersome to extract contact details for ticket buyers – especially when you need them for marketing, reminders, or follow-up after an event. That’s why we’ve developed new features that make it easier to collect data for customer follow-up and targeted communication – fully compliant with current consent regulations.

Getting started with the new consent features

A key part of this launch is a new consent management system. You can now activate marketing consent, which is collected directly when the customer selects their payment method. This provides:

  • Clearer and more visible consent
  • Better understanding of the difference between marketing consent and other types of consent
  • A stronger foundation for GDPR-compliant communication

Customers, as always, have full control and can withdraw consent at any time via My Account.

Extracting data

Once consent has been given, contact data can be exported via:

  • API – for automated integration
  • Excel export – under “Export Data” in the service

Each record contains contact information and the consent expiry date. Note that marketing consents are valid for two years from the last purchase where consent was given.
Note: Consent status may vary, particularly for reactivation campaigns or manual collection in your own systems.

Integrations

Using your own systems?

Many organisers use their own newsletter or CRM systems. If you want your system to pull data directly from Hoopla, you can use our API. Documentation is available here:

Want to do it yourself?

If you’re technically inclined, you can quickly get started. With an API key from your organiser account, you can connect Hoopla to tools like Zapier and automate the transfer of customer data to the systems you use.

Guidelines for use

Although these features are available for flexible use, strict data protection and privacy requirements still apply.

As an organiser, you are responsible for ensuring that:

  • Consents are used correctly and only for purposes the customer has approved
  • Data use complies with GDPR and internal policies
  • Data is deleted or usage stopped when consent expires or is withdrawn

Misuse – such as incorrect use of consents or GDPR violations – will result in immediate suspension of access to these features.
